1. Introduction
At RealInterview AI ("we", "our", or "us"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered interview practice platform.
2. Information We Collect
Personal Information
- Name and email address
- Account credentials
- Profile information (experience level, target roles)
- Payment information (processed securely by third-party providers)
Interview Data
- Audio recordings of voice interviews — both your voice and the AI interviewer’s. The recording is made by our servers, not by your browser, and the audio files are stored in Google Cloud Storage
- Transcripts of what you say in voice mode, including the fragments our speech recogniser set aside as unclear or as something you did not say
- Text responses to interview questions
- Interview performance metrics and scores
- AI-generated feedback and suggestions
Technical Data
- Device information (browser type, operating system)
- IP address and approximate location
- Usage patterns and session duration
- Cookies and similar tracking technologies
3. How We Use Your Information
We use the collected information for:
- Providing and improving our interview practice services
- Generating personalized feedback and recommendations
- Processing payments and managing your account
- Sending service updates and promotional communications
- Analyzing usage patterns to improve our platform
- Reviewing interview data to check and improve the accuracy and quality of our AI feedback
- Using recorded interview audio to train and improve our speech recognition and our AI interview models, under the retention windows set out in Voice and Audio Data
- Ensuring security and preventing fraud
4. Data Storage and Security
We implement industry-standard security measures to protect your data:
- End-to-end encryption for data in transit
- Encrypted storage for sensitive information
- Regular security audits and vulnerability assessments
- Access controls and authentication mechanisms
- Secure cloud infrastructure with redundancy
5. Data Sharing
We do not sell your personal information. We may share data with:
- Service Providers: Third parties who help operate our platform
- AI Partners: The speech-recognition and language-model providers that transcribe and evaluate your interview. Your voice reaches the speech-recognition provider as audio, which is not anonymous
- Legal Requirements: When required by law or legal process
- Business Transfers: In case of merger or acquisition
6. Your Rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you, and receive a copy of it in a machine-readable format
- Correct inaccurate information. Your name, gender and preferred language are editable yourself, under Settings → Profile. Your email address identifies the account and can only be changed on request
- Close your account, yourself, under Settings → Security. This is permanent, and it is not the same as erasure — see Data Retention for exactly what closure keeps
- Erasure — ask us to delete the data we are not required to keep, your interview recordings included
- Turn off the use of your recordings to improve our AI, yourself, under Settings → Privacy. Recordings still inside their first 90 days move to the 90-day clock and anything older is deleted. This is not erasure: your interviews, transcripts and reports stay, and it does not delete the set-aside transcript fragments described in Voice and Audio Data — only erasure does
- Opt out of any non-essential email, yourself, under Settings → Notifications. We do not send marketing email
- Object to, or ask us to restrict, processing. The processing this Service performs is the interview you asked it to run; where we cannot honour a restriction without ending the Service for you, we will say so and tell you what we can do instead
Access, a copy of your data, an email-address change, erasure, withdrawal of recording consent, and objection or restriction are handled as requests. Send one through our contact form, choosing “Privacy” as the topic, from the email address on the account. We respond within 30 days.
7. Voice and Audio Data
When you use voice mode during interviews:
- The interview is recorded. Both sides of the conversation are captured — your voice and the AI interviewer’s — by our servers rather than by your browser, and the audio is stored in Google Cloud Storage
- Your speech is also transcribed as you speak. The transcript and its AI analysis are stored as part of your interview record, together with the fragments our speech recogniser set aside as unclear or as something you did not say — we keep those because they are how we find out where it mis-heard someone
- Those set-aside fragments are kept indefinitely, so they outlive the recording they came from. They are what lets us measure whether a new speech model hears people better than the one we use now, and that comparison is only worth anything against real failures collected over years. They are not removed when you withdraw your consent to recording — that removes the training copy of your audio, not the text. Erasing your account deletes them, and that is the one thing that does
- Recordings are kept on one of two clocks. A service recording is deleted after 90 days. A training recording is deleted after 730 days and is used to improve our speech recognition and our AI interview models
- Which clock applies to you. A recording is kept as a training recording only if you agreed when the interview started and have not since turned that off — and, where a company set up the interview, only if that company allows it. If any of those is not true, the recording is a service recording and is deleted after 90 days. We do not treat “we do not know” as agreement
- If a company invited you to the interview, that company chooses whether recordings of its candidates may be used to improve our models. If it turns that off, the recordings we already hold stop being used for that straight away. Nothing is deleted at that moment: each is deleted 90 days after the company turned it off, or at its own 90-day date if that is later, and never more than 730 days after it was recorded. If the company turns it back on before then, the recordings still held are used again, but only those you agreed to when the interview started and have not turned off yourself since; the others keep their deletion date. Recordings already deleted are not brought back
- You can turn it off at any time, in Settings → Privacy, or, if a company invited you, on that interview’s start page once you have signed in there. Recordings still inside their first 90 days move to the 90-day clock; anything already older than that is deleted and cannot be brought back. Interviews you take afterwards are not used for training either, until you turn it back on. It does not delete your interviews, your transcripts or your reports, and it does not remove the set-aside transcript fragments described above
- Interviews run through an educational institution are always service recordings, kept 90 days, and are never used for training. Some students are under 18 — data India’s DPDP Act treats as a child’s, requiring verifiable parental consent — and we do not collect dates of birth, so we treat every one of those interviews as if it were a child’s
- A training recording is not anonymous, and we will not call it that. A voice identifies the person speaking, so a recording stays personal data however much is stripped from around it. We pseudonymise it; we cannot anonymise it. That is why the 730 days is a limit and not an indefinite hold
- Erasing your account deletes your recordings on both clocks. See Data Retention for how that runs, and Your Rights for how to ask. Turning off the training use while keeping your account and your interviews is the separate, self-service control described above
8. Product Analytics
Separately from the interview data described above, we run a small first-party analytics pipeline to understand how the product itself is used, outside of any interview.
What this collects:
- Which pages you visit, recorded as a route pattern (for example
/interview/[id]/report) — never the full address, and never anything after a?or# - Which features you use and errors you encounter, each described from a small, fixed list of event names and property values — never free text you typed
- A random id generated and stored in your browser, so we can tell one visitor’s actions apart from another’s
- If you are signed in, your account, attached by our server from your authenticated session — never sent by your browser itself
What this never collects:
- Your IP address
- The full web address you were on, or anything in its query string
- Your name, email address or phone number
- Your resume, or the text of any interview question, answer or score
This is pseudonymous, not anonymous, and we will not call it anonymous. The random browser id, and your account once you are signed in, both let us tell one visitor’s activity apart from another’s — that is what makes it pseudonymous rather than anonymous, and under India’s DPDP Act it is personal data for exactly that reason: we hold the key that could tie it back to you. It never leaves our own servers — no analytics vendor, advertiser or other third party ever receives it.
Before you sign in, you see a one-time notice about this the first time you visit, with a link to our Cookie Policy and a switch that turns it off there and then, and it stays dismissed after that. Once you have an account, this is covered by the Terms of Service you accept at sign-up (see Analytics and Usage Data), and the same switch moves to Settings → Security → Usage analytics. So you can turn it off at any time, whether or not you have an account yet: from the notice on our public pages before you sign in, and from Settings once you do.
Turning it off stops these events. It does not stop the records we need to run and bill your account — for example, that an interview happened or a payment succeeded — because those are operational records, not behavioural tracking, and are covered under How We Use Your Information above rather than here.
Erasing your account, described in Data Retention, does not today also erase or unlink analytics events already recorded against your account — this pipeline is not one of the tables that request clears.
10. Data Retention
We keep your account data for as long as your account is open. Closing your account stops you signing in; on its own it does not delete what you have already done, because we have to keep billing records.
When we erase an account at your request, this is what happens:
- Deleted: your interviews and everything attached to them — audio recordings, transcripts, reports, evaluations and session records — together with your career profile, your profile-chat history, your notification preferences, your active sessions, and the credential you sign in with
- Kept: invoices, purchases, refunds and credit transactions, which we are required to retain for tax purposes. Your account record itself survives as an anonymised stub — your name and email address are removed from it — because those financial records refer to it
Recordings also run on their own clock, whatever your account is doing: a service recording is deleted 90 days after the interview and a training recording after 730 days, described in Voice and Audio Data.
When we erase an account, its recordings are deleted on both clocks at once. The database records of them go in the erasure itself; the audio files sit outside the database, so they are queued for deletion in the same moment and removed shortly afterwards by a background job. If you ask us for confirmation, we can tell you when the files themselves were gone, not only when they were queued.
Your interview transcripts — including the fragments the speech recogniser set aside — are kept indefinitely. There is no clock on them and nothing deletes them on a schedule: they last as long as your interview record does, which is until you ask us to erase your account. Withdrawing your consent to recording does not remove them; an erasure request does.
